Everyone handles their inbox differently. Figuring out your email style can help you create a system that works for you. Which of the following sounds most like you?
Inbox 1,000+: "I search for what I need. If I miss something, it’s okay. If it’s crucial, it will come up again."
Inbox 100+: "I manage it pretty well. I have a set limit, and when I reach it, I clean up my inbox. But I’m still looking for an easier method."
Inbox 50+: "I’m fine as long as I can see everything in my inbox. Once it spills onto a second page, it’s time to tidy up."
Inbox Zero: "I move all emails to folders for future action, leaving nothing in the inbox." (Be cautious with this approach—moved emails can easily be forgotten.)
Organize Your Inbox
What should stay in your inbox? Keeping everything in your inbox can lead to losing important emails. It's like trash piling up all over your space. Instead, keep only actionable items—emails that require you to do something—in your inbox.
To manage your inbox effectively, decide the fate of each email with these three actions: File, Delete, and Action.
FILE emails you might need later.
DELETE unnecessary emails. (If you're not ready to commit to fully deleting, archive your emails.)
ACTION emails stay in your inbox until completed. (tip: I'll even flag or star these to bring them to my attention.)
Clean Up Your Inbox
Create Folders: Set up labeled folders for older emails. Some of the one's I use are "Resources/Ideas" or "Receipts". Once you start going through, you'll see the patterns of what you want to keep and how to categorize them based on your email style.
Move Old Emails: If you have thousands of emails, start by transferring all emails older than two months to an archive folder. Move a few hundred at a time to avoid overloading your system.
Batch Process: Sort emails by subject to batch delete. Look for completed projects, past events, and outdated newsletters or ads.
Inbox Settings: go to your settings and under inbox sections, assign it in order of unread, starred, and everything else. This will allow you to see the action items at the top of your inbox and organize everything else when you have more time.
Maintain Your Inbox
After reducing the number of emails, handle each new email using the FILE, DELETE, or ACTION method. This approach will help you keep your inbox organized and prevent it from becoming overwhelming again. For emails coming in that you automatically delete, take the extra step to unsubscribe to eliminate having to delete it every time more come in.
